This policy has been drawn up to comply with the General Data Protection Regulation (GDPR) and aims to ensure that data is protected and treated confidentially. In this policy you can read which data we collect for our services at BeCenter (hereinafter: “BeCenter” or “we” or “us/our”) and why we collect this data. We respect the privacy of all users of our services and we ensure that the personal information provided to us is treated confidentially. We act in accordance with the General Data Protection Regulation (GDPR). We process the following personal data on the basis of the grounds described below.

As an organisation, we refer to our privacy policy on our website and in all documents containing personal data (employment agreement, rental agreement, registration form).

We may receive information about customers from other sources, such as social media platforms, in accordance with their privacy policies, and combine this information with the data we already have about the customer.
As an organisation, we declare that we only process personal data of persons under the age of 16 if written consent has been given for this by the parent, carer or legal representative.
We use the information collected for the performance of the agreement to which the customer is a party, the provision of the requested services, supporting customer needs and communication with customers. We wish to keep our customers informed about the development of our services by means of newsletters. We also use the information to comply with legal obligations based on laws and/or regulations.
We only share the personal information of our customers as described in this privacy policy or when necessary for the provision of our services. We may share customer data with legal bodies or authorities if we are required to do so on the basis of laws and/or regulations.
Customers have certain rights regarding their personal information, namely the right to information, access and control, correction, erasure, data portability and objection to processing.
We strive to safeguard the security of customer data and take appropriate technical and organisational measures to protect their personal information against misuse, unauthorised conduct or disclosure. Customer data is stored on our own secured computers and secured servers of a third party (BOX), with which party (the “processor”) a processing agreement has been concluded that meets the requirements set by the General Data Protection Regulation (GDPR).
As an organisation, we declare that we never pass on personal data to other parties with whom we have not concluded a processing agreement, where this is necessary for the performance of the purposes for which we obtained them.
As an organisation, we have stored the personal data only on computers with security software, whereby both the security software and the operating system are set to automatically retrieve and install updates.
As an organisation, we have always stored personal data behind the security of at least a username and password and have secured the stored personal data with a backup.
Paper files and documents containing personal data are stored in a locked room that is only accessed by our responsible employees. The employees of BeCenter are obliged to respect the confidentiality of customer data. The GDPR is discussed annually during the work meeting.
Personal data of customers is stored carefully and no longer than is necessary for the purpose for which it was obtained. Unless BeCenter is required to retain customer data for longer on the basis of legislation, we apply the statutory retention periods.
The following periods apply to our mail service. Incoming mail is kept at our office for 30 days; the scanned letter itself is removed from our mail environment after that same period. The e-mail by which we sent the scan to the client is retained for twelve months, so that we can still assist a client who asks for a copy at a later date. For each item we record only the date, the client name and the file name, so that we can demonstrate that and when mail was forwarded; we do not retain the contents of the mail itself. If a client replies to our e-mail, that correspondence becomes part of our ordinary business records and is retained on that basis.
Data we are required to record under the Dutch Anti-Money Laundering and Anti-Terrorist Financing Act (Wwft) — including identity data, the identification of ultimate beneficial owners and screening results — is retained for up to five years after the end of the relationship. Invoices and the related records are retained for seven years under the statutory tax retention obligation.
We may update this privacy policy from time to time. Legislation and developments move quickly and, as a result, something may sometimes change in the personal data we request from customers and the way in which we use their personal data. Changes will be communicated by email if necessary. This privacy policy was last amended on 12.01.2026.
If customers have a complaint about the use of their personal data, they can contact us. We aim to find a joint solution. If we are nevertheless unable to reach a solution together, they can submit their complaint to the competent court or to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
